Event Subcontracting & Feature Area Management

Overview
Digital World Transformation 24 (DTW24) brought together over 4,000 attendees for a three-day conference in Copenhagen, showcasing the latest in digital transformation. The event featured 18 meticulously designed feature areas, including 10 stages, networking lounges, VIP areas, interactive zones, and a park-style respite area.

BroadVent was engaged as a subcontractor to assist with the delivery of these feature areas, working closely with the main contractor to ensure a smooth and professional execution.

The Challenge
Managing a complex event like DTW24 involved numerous moving parts and stakeholders. As subcontractors, we were tasked with supporting the main contractor while navigating the challenges of indirect communication with the client and adhering to strict local rules and regulations in Copenhagen. The scope of work required balancing a broad range of responsibilities, ensuring all deliverables met client expectations while maintaining budgetary control.

Our Solution
BroadVent provided comprehensive event support, from planning to on-site delivery, focusing on seamless coordination and creative problem-solving. Key contributions included:

  1. Logistics & Coordination

    • Organized and managed contractors and suppliers across multiple disciplines, including AV, staging, lighting, graphics, and venue operations.

    • Oversaw furniture and flora orders, ensuring timely delivery and installation across all feature areas.

    • Worked closely with the venue to develop detailed build and break schedules, ensuring smooth transitions during the four-day setup and one-day breakdown.

  2. Feature Area Design & Execution

    • Collaborated with the main contractor on feature design, creating bespoke design briefs for specific areas.

    • Coordinated interactive zones, such as networking lounges and VIP areas, including stepping in to finalize a VIP lounge concept just weeks before the event.

  3. Communication & Collaboration

    • Held regular meetings with the main contractor and provided updates on deliverables, ensuring alignment with the client’s vision.

    • Established workflows that improved communication closer to the event, enabling direct dialogue with the client for final adjustments.

  4. On-Site Problem Solving

    • Acted as show callers for the main stage, ensuring a polished delivery of key sessions.

    • Addressed challenges on-site with a collaborative, one-team approach, adapting to evolving client needs in real time.

The Result
DTW24 was successfully delivered, earning glowing feedback from attendees and the client. Attendees noted the elevated quality of the feature areas compared to previous years. BroadVent's contributions were specifically recognized, with praise for our designs, execution, and on-site problem-solving.

The event was a resounding success, further cementing DTW24’s reputation as a leading conference in its field.
